Trackline Organizer Submission Terms
Last updated: October 24, 2026
Key points (summary only; the full terms below control)
- Only an event's organizer, or someone the organizer has authorized, may submit an event or a calendar feed.
- You give Trackline a free, non-exclusive license to display and share the event facts you submit (name, dates, venue, organizer, price, event type, and registration link).
- You promise the information is accurate, kept current, and lawful, and that your event has the permits, insurance, and sanctioning it needs.
- You stay responsible for your event, including updates, cancellations, prices, refunds, and safety. Trackline is only a directory.
- If you give us a feed URL, we fetch it automatically and import facts only. You can stop this at any time, and the listings come down within 2 business days.
- Trackline may edit for format, decline, or remove any listing. Trackline is not affiliated with or endorsed by any event organizer, sanctioning body, or track, and you may not suggest otherwise.
- Listing is free. Any future paid or featured placement will be under separate terms and clearly labeled as sponsored.
1. About these terms
These Organizer Submission Terms ("Submission Terms") are an agreement between Trackline LLC, a Wyoming limited liability company ("Trackline," "we," "us"), and the person submitting an event and the organizer they act for ("you"). They apply when you use the "Submit your event" form or give us a calendar feed URL to import.
These Submission Terms add to the Trackline Terms of Service (the "Terms of Service"). If the two conflict on anything about submissions, these Submission Terms govern. Trackline may also list events from public sources on its own. These Submission Terms cover what you submit to us.
2. Who may submit
You may submit an event or feed only if you are the event's organizer, or an employee, officer, volunteer, or agent the organizer has authorized to do so. You must be at least 18. By submitting, you represent that you have authority to act for the organizer and to accept these Submission Terms on its behalf.
3. What you submit
You may submit:
- event facts: event name, dates and times, venue, organizer, price or fees, and event type (for example, track day, High Performance Driver Education (HPDE), or autocross);
- links, such as the event's registration page;
- optionally, a calendar feed URL (iCal/ICS or RSS) for automatic import (see Section 6); and
- your contact details (name, email, and organization), so we can verify and manage the listing.
Trackline displays facts only: the event name, dates, venue, organizer, price, event type, and a registration link.
4. License to Trackline
You grant Trackline a non-exclusive, royalty-free, worldwide license to host, store, display, reformat, excerpt facts from, and link to what you submit, and to let users share it (for example, through Share and Add to Calendar). This applies on our website, in our app, and in promotion of the Service. The license lasts as long as the listing is live, plus a reasonable wind-down period to remove it from the Service, caches, and backups. You may let our service providers exercise this license only as needed to run the Service. You keep ownership of your content.
5. Your promises and responsibilities
You represent and promise that:
- you have the rights needed to submit the information and grant the license above;
- the information is accurate and not misleading, and you will keep it current;
- the event is lawful and has the permits, insurance, and sanctioning it requires; and
- your submission does not infringe anyone's copyright, trademark, or other rights.
You alone are responsible for your event, including its conduct and safety, waivers, and registration. You are also responsible for updates, cancellations, prices, and refunds. Tell us promptly about any change, or update your feed. Trackline does not handle registration or payment and is not a party to anything between you and your participants.
6. Calendar feed import
If you give us a feed URL:
- Authorization. You authorize Trackline to fetch the feed automatically on a schedule we choose, and to create, update, and remove listings to match it.
- Facts only. We import event facts only. We may ignore descriptions, images, attachments, and other content in the feed.
- Right feed only. Give us only a feed you are authorized to share. Don't submit a private calendar link that contains personal information or secret access tokens you aren't permitted to share.
- Revocation. You can stop importing at any time by removing the feed or emailing support@tracklinehq.com. Imported listings will come down within 2 business days after we receive your email or detect that the feed has been removed.
- If a feed stops working or returns unreliable data, we may pause it or remove its listings.
7. Our discretion
We may edit submissions for format, length, and consistency, and we may decline, hide, or remove any listing at any time, for any reason, without notice. We have no obligation to publish anything you submit.
8. No endorsement
Trackline is not affiliated with or endorsed by any event organizer, sanctioning body, or track. Listing an event is not an endorsement of the event, the organizer, or the venue, or a statement about its safety. You may not state or imply that Trackline sponsors, endorses, or partners with you or your event unless we have agreed to that in writing.
9. Your names and trademarks
You grant Trackline a limited license to display your organizer and event names to identify your events on the Service. We will not display your logos unless you provide them and permit us to use them. You may withdraw permission for logos at any time by emailing support@tracklinehq.com. Otherwise, all rights in your marks stay with you.
10. Indemnity
You agree to defend, indemnify, and hold harmless Trackline and its members, managers, officers, employees, contractors, and agents from any claims, damages, losses, liabilities, costs, and expenses (including reasonable attorneys' fees) arising from your event or your submission. This includes claims about injuries, death, or property damage at your event, inaccurate or outdated information, cancellations or refunds, and intellectual property claims about what you submitted.
11. DISCLAIMER AND LIMITATION OF LIABILITY
THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE." TRACKLINE DOES NOT PROMISE THAT ANY LISTING WILL BE PUBLISHED, STAY LIVE, APPEAR IN ANY POSITION, OR PRODUCE ANY REGISTRATIONS, OR THAT FEED IMPORTS WILL BE ERROR-FREE. THE DISCLAIMER OF WARRANTIES AND LIMITATION OF LIABILITY IN THE TERMS OF SERVICE APPLY TO YOUR SUBMISSIONS. TO THE FULLEST EXTENT PERMITTED BY LAW, TRACKLINE WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR LOST PROFITS OR REGISTRATIONS, AND TRACKLINE'S TOTAL LIABILITY UNDER THESE SUBMISSION TERMS WILL NOT EXCEED THE GREATER OF THE AMOUNT YOU PAID TRACKLINE IN THE 12 MONTHS BEFORE THE CLAIM OR US $50.
12. Corrections, takedowns, and copyright
- Corrections and takedowns: email support@tracklinehq.com with the event and the change you need. We aim to act promptly. For feed listings, see Section 6.
- Copyright complaints: send DMCA notices to our Copyright Agent as described in the "Copyright complaints (DMCA)" section (Section 13) of the Terms of Service.
13. Fees and sponsored placement
Listing on Trackline is free. If we ever offer paid or featured placement, it will be under separate terms that you must accept, and paid placements will be clearly labeled as sponsored.
14. Privacy
We use the organizer contact information you give us (name, email, and organization) only to verify and communicate about your listings. We don't display it publicly unless you include it in the event details. See our Privacy Policy at tracklinehq.com/privacy.
15. Changes and ending
We may update these Submission Terms by posting a new version with a new "Last updated" date. Changes apply to submissions and feed fetches after the update. You may stop submitting at any time and ask us to remove your listings. Sections 4 (for the wind-down period), 5, 8, 10, 11, and 16 survive.
16. Governing law
These Submission Terms are governed by the laws of the State of Wyoming. The informal dispute resolution and governing law and venue sections of the Terms of Service (including venue in the state and federal courts in Laramie County, Wyoming) apply to them.
